Fast response is the single highest-leverage change most sales teams can make. This guide walks through the setup that makes a sub-5-minute first response the default, not the exception.
Step 1 — Get every lead into one place
Connect all your sources so nothing slips through:
- Meta Lead Ads (setup guide)
- Website and landing-page forms
- Webhooks from other tools
- CSV import for existing lists
Step 2 — Turn on instant alerts
Enable mobile push notifications so the assigned rep feels a vibrating alert the moment a lead arrives. Email alone is too slow — it gets checked in batches.
Step 3 — Automate assignment
Enable round-robin routing so each new lead is instantly assigned to an available rep. No lead should wait for someone to manually claim it.
Step 4 — Make first contact one tap
Set up WhatsApp templates in Settings → Templates. These fill in automatically: {{first_name}}, {{name}}, {{email}}, {{phone}}, {{company}}.
Hi {{first_name}}, thanks for your enquiry! Is now a good time for a quick chat?
With the WhatsApp Business API, an automation can even send this the moment the lead arrives.
Now first contact is a single tap — the chat opens pre-filled with the prospect's number and your greeting.
Step 5 — Watch your response time
The Executive Dashboard tracks it for you:
- Average and median time to first response.
- The % of leads contacted within 5 minutes.
- Leads that missed the 15-minute response target.
- The Going Cold list flags leads nobody has contacted for 14 days.
Step 6 — Review weekly
Check first-response times per rep each week. Celebrate the fast ones, coach the slow ones. Speed-to-lead is a habit, and the scoreboard is what keeps it sharp.
With this in place, responding in minutes stops being heroic effort and becomes how your team simply operates.
